Abstract [en]

This project addresses the challenges of file management within Kanthal AB's HS HHR (Heating Systems Hallstahammar) department, where disorganized file storage practices have led to inefficiencies and reduced productivity. The study aimed to streamline file management across three platforms: PDM (Product Data Management) Vault, Microsoft SharePoint, and On-Premises storage. Through qualitative research, including interviews with key stakeholders, the project identified critical issues such as inconsistent file naming conventions, lack of standardized storage guidelines, and inefficient search functionalities. To resolve these challenges, the project resulted in a series of proposed solutions, including the implementation of structured folder systems, enhanced metadata functionalities within SharePoint. In the project the PDM system was explored to understand ways to support better integration with the ERP system, M3, and the use of Microsoft Power Automate (MPA) to automate workflows. A comprehensive guideline document is also developed to assist users across all platforms, ensuring consistent practices and ease of use. The outcome of this project is a more organized and efficient file management system, expected to improve overall productivity and user satisfaction within the department.

Detta projekt behandlar utmaningarna med filhantering inom Kanthal AB:s HS HHR avdelning (Heating Systems Hallstahammar), där oorganiserad fillagring har lett till ineffektivitet och minskad produktivitet. Studien syftade till att effektivisera filhanteringen över tre plattformar: PDM (Product Data Management) Vault, Microsoft SharePoint och lokal lagring. Genom kvalitativ forskning, inklusive intervjuer med viktiga intressenter, identifierade projektet kritiska problem som inkonsekventa konventioner för filnamn, brist på standardiserade riktlinjer för lagring och ineffektiva sökfunktioner. För att lösa dessa utmaningar har projektet resulterat i en rad lösningar, bland annat implementering av strukturerade mappsystem och förbättrade metadatafunktioner inom SharePoint. I projektet undersöktes PDM-systemet för att förstå hur man kan stödja bättre integration med ERP- systemet M3 och användningen av Microsoft Power Automate (MPA) för att automatisera arbetsflöden. Ett omfattande riktlinjedokument har också utvecklats för att hjälpa användare över alla plattformar, vilket säkerställer konsekventa metoder och användarvänlighet. Resultatet av detta projekt är ett mer organiserat och effektivt filhanteringssystem som förväntas förbättra den övergripande produktiviteten och användarnöjdheten inom avdelningen.
