The Swedish construction industry is currently undergoing one of its most challenging periods in several years. Companies are being forced to make cutbacks, declare bankruptcy, and the market is characterized by uncertainty. To survive and remain competitive, it is crucial for construction companies to deliver competitive bids. The bid calculation is the first step towards a successful project, and a project that starts with challenges is difficult to turn around. Therefore, competitive bids are essential not only to win projects but also to execute them profitably.
This thesis, " Quality Assurance of Tender Estimates through Systematic Monitoring and Experience Feedback," was conducted in collaboration with a construction company in Sweden. The initiative came from the regional manager in Värmland, who identified the lack of a system for checking bids against previous projects. The purpose of the study was to examine the current process of experience feedback for calculations within the company and how this process can be improved to ensure the quality of new bids. The study investigated whether key performance indicators (KPIs) could be used as tools to evaluate and compare bid calculations against historical data and reference values.
The goal was to provide the company with insights into how they can improve their processes to ensure the quality of bid calculations through systematic follow-up and experience feedback. To achieve this, an interview study was conducted with six employees with different roles and responsibilities within the company.
The results show that there is significant potential for improvement in the current experience feedback between calculation and production. Follow-up of production is inadequate, and important data and experience values are not effectively compiled and utilized. This hinders the company from making well-informed decisions about future projects. The study identified several factors affecting experience feedback, including the company's organization and the industry's culture.
Furthermore, the study showed that certain segments within the company have advanced further in using KPIs and KPI databases when preparing bid calculations. These KPIs can early on pinpoint the final cost and reduce uncertainties in the initial stages of projects. Therefore, there is much to gain from collecting and using data from previous projects as experience values when preparing new bids. The study concludes that systematic follow-up and experience feedback are critical components for improving the quality of bid calculations in the construction industry. Implementing structured processes for this can lead to more competitive bids and increased profitability for the company.
